To ensure optimum customer service, we’re hiring an Administrative Assistantto be the first point of service contact with our clients.
Your job will be to take calls, coordinate with the parts department, assist with scheduling service for multiple service technician teams, and provide monitoring for ongoing service projects for multiple Clients.

· Strong General Computer Skills / Knowledge:
* o Proficient in Excel, Word, Outlook
* o Experience in Service / Parts Databases (JD Edwards, Oracle, Peachtree, etc.
).

*Job Duties - Include But Not Limited To*
*Office Related:*
· General Office Coordination and Organization:
* o Answer phones, convey messages to appropriate staff.
* o Maintain and order office supplies as needed.
* o Oversee general office housekeeping.
*Service Related:*
· Create, Maintain and Process Service Work Orders:
* o Open Work Orders.
* o Maintain 3rd Party Provider Entries
* o Run and Compile Work Order Cost Detail Reports
* o Maintain & Reconcile Service Labor Hour Records
* o Finalize and Process Invoices
* o Distribute and Submit Invoices as Required
· Purchase Order Administration:
* o Create, Maintain and Process for 3rd Party Providers
* o Co-ordinate with Parts Department on Service Job Related Parts
*Parts Related:*
· Process Parts Orders from Customers and Field Service Technicians:
* o Open Customer Orders
* o Post Material to Order or Service Job
* o Close Customer Orders
* o Process and Distribute Invoice as Required
· Purchase Order Administration:
* o Open Purchase Orders
* o Purchase Material via Vendor Online System, Email Correspondence or Call In
* o Co-ordinate / Manage and Track Material Shipments
* o Receive Material to Purchase Order – Update Costing as Required
* o Close Purchase Orders
· Provide Parts Inventory Support
