Position: Service Administrator
Reports to: Administrative Manager, USA
Location: Williston, ND
Job Brief:
The Service Administrator will support and provide assistance to Field Technicians by ensuring job tickets are accurate and submitted in a timely fashion for billing.
Duties & Responsibilities:
Process daily field tickets in enterprise resource planning (ERP) software system (IFS).
Monitor Work in Progress (WIP) orders that are waiting for approvals, provide weekly reporting to WIP managers and refers accounts with issues to branch management, Warehousing Manager and / or Office Manager as applicable.
Acquire necessary approvals for field tickets and ensure all customer approved related coding is accurate and coordinated to the correct job.
Create an invoice for approved tickets and confirm accuracy of information.
Work with branch managers and estimators for cost management.
Liasson and communicate with technicians to resolve any field ticket discrepancies.
Ensure job billings are accurate and timely.
Support technician accountability with appropriate manager.
Work with purchasing / warehouse staff to reconcile material or inventory discrepancies.
Prepares any necessary spreadsheets and provide administrative assistance as required.
Participate in the Control Tech Safety program, including maintenance of safety training compliance and attendance at monthly safety meetings.

Previous work experience in Service Administration and Office Administration.
Familiarity with Oil and Gas service industry, specifically Electrical and Instrumentation trades is an asset.
Experience working with accounting and/or enterprise resource planning (IFS) software is an asset.
Working experience with Microsoft Office applications (Outlook, Word, Excel)
Ability to work under pressure while displaying a polite and tactful manner to fellow employees and clients.
Education:
High School Diploma or equivalent.
